Checking tools out by scanning, instead of the notebook at the gate

There is a notebook at the gate. Someone writes in it who took what, in biro, usually abbreviated — „Andrew, grinder" — and often not even that, because the man was in a hurry and shouted over his shoulder that he was taking a drill.

The notebook has two problems, and neither is solved by buying a better notebook: nobody reads it between the moment something is written and the moment something is missing, and it goes missing itself. Usually right before a stocktake.

The problem is not that nothing gets written down#

Almost every firm writes something down. The problem is what can be done with it afterwards. A handwritten line, in a notebook that exists in one place, answers none of the questions that come up later:

• Who has the grinder right now? — read every page, backwards.
• What is Andrew holding? — the same, hunting one name through a month.
• What was due back yesterday? — the notebook does not know what „yesterday" means.
• Who signed for it? — nobody. It is a line written by the man on the gate.

A spreadsheet fixes the searching and nothing else: it is still a document someone has to update by hand, at a desk, after the thing it describes has already happened.

Sets move whole#

This is the detail you only feel after a few months of use. A cordless drill does not travel alone: it has batteries, a charger, often a case of accessories. If every part has to be assigned separately, nobody does it — and then the system lies, because the batteries show as being in the warehouse when they are in Andrew's van.

Assignment cascades through every level: hand over the set, and the tools inside it go too, along with the accessories attached to those tools. One action, not seven.

What changes when the movement is recorded on the spot#

Not the speed at the gate — writing in the notebook took fifteen seconds too. What changes is what you can find out afterwards:

• Who has a given tool, without ringing anyone.
• What one person is holding, before they leave the company rather than after.
• What is overdue, as a list that builds itself.
• The full history of every item — who had it, and when.

Scanning is not a premium feature#

Scanning is the core of the app and is available on every plan. What differs between plans is the daily scan quota, not access to the function. A record-keeping system that locks you out of its main action is not a record-keeping system.

The handover and the document are two things#

This guide is about the action at the gate. What comes out at the end — the report signed by both parties, with the weight of a document — is a separate subject: the tool handover form, which also offers a blank template.

The field flow needs no signal to work — the write syncs when the connection returns. One real limit though: a handover signed entirely offline loses its signed PDF, because document upload is not retried. The change of custody survives; the document does not.
