Why the tool spreadsheet is always out of date, and what replaces it

Nearly every firm has the file. It is called Tool inventory.xlsx, it lives on one laptop, it has sensible columns and it was filled in carefully — up to a date you can see in the corner. Usually three months ago.

The file is not wrong. It is a photograph: it knows what was there the last time somebody looked. Since then things have moved, one broke, three were bought, and a drill left with a man who no longer works here.

Why any spreadsheet goes stale#

Not through laziness. Through structure: the spreadsheet is updated at a desk, afterwards, while the movement happens on site, at the time. Between the two is a person who has to remember and have a spare minute. The consequences are always the same:

• A tool gets bought twice because the first one exists but cannot be found.
• Nobody knows what a departing employee is holding — it surfaces a month later.
• At stocktake the discrepancies cannot be explained: there is no history, only a current state.
• Batteries and accessories appear nowhere, because they „belong to the machine".

Every item gets a record, not a row#

The practical difference between a spreadsheet and a digital inventory is that a row has columns and a record has history. In ToolFlux every asset carries its photo, serial, condition, location, current holder and everything that has happened to it.

Six categories, because they do not behave alike:

• Tools — individual items, with serials.
• Accessories — attached to a tool, moving with it.
• Sets — tool + batteries + charger, as one thing.
• Consumables — used up, tracked by quantity.
• Materials — like consumables, but the quantity installed is tracked too.
• Containers — the boxes and crates the rest travels in.

Finding is not the same as filtering#

That last point sounds minor until the first serious conversation. If a set went out with two batteries and came back with one, the question „how many were there then?" needs an answer, not an interpretation.

Labels are made in-house#

Every asset gets a QR or barcode label, generated and printed from the app. It matters because otherwise putting a new tool into service would depend on an outside order — and any step that depends on somebody else is the step that gets postponed.

Where to start#

The real objection is not „I do not want a system", it is „I have not got time to put five hundred tools into an app". The honest answer is that you do not need all of them for it to start being useful: put in what moves and what disappears — power tools, sets, expensive kit. Consumables and materials can follow.
