The gate code at the north depot has changed. Those who know it know it, and those who do not, ring. The information exists — it was written down two months ago, in a WhatsApp message, in a group of forty people and six hundred messages since.

Or on a sticky note. Or in the head of a foreman who is on holiday.

Site knowledge is not lost, it is buried

Almost nothing that matters in a small firm is genuinely lost. It gets written somewhere, once, and then becomes impossible to find:

  • The WhatsApp group — ordered by time, which is exactly the wrong order.
  • The notebook in the office — one copy, in one place.
  • Notes on somebody's phone — they leave with the phone.
  • „I'll tell Andrew" — which works until Andrew is free and you remember.

What is missing is not a place to write. There are plenty. What is missing is the link between the note and the thing it is about — and somebody coming across it without having to search.

Three kinds of note, because they do not share an audience

Personal

Things you want to remember yourself. „Order flap discs, 5 boxes." Nobody else sees them, and it matters that this option exists — otherwise people write nothing at all, for fear of recording a half-formed thought.

Shared with the company

Things everybody needs to know. „Deliveries are received Tuesday morning." Written once, seen by the crew, no longer circulating through three separate conversations.

Attached to a location

Things that only make sense there. „North depot — new gate code." Whoever opens that location comes across the note without looking for it, because it lives on the location rather than in a general list.

Why the third kind is the one that matters

The first two are, in the end, a better notepad. The third is something else: the information no longer has to be remembered by anybody, because it sits attached to the thing it describes.

Somebody new opening the north store for the first time sees what they need to know about the north store. They do not ask, do not ring, do not scroll through a group's history. The difference between „it is written down somewhere" and „it is written where you are already looking" is the whole difference.

What it is not

It is not task management. There are no deadlines, no assignees, no „done" tick, no reminders. It is a notebook with three drawers and a search box — and that is exactly what was missing. A task module inside a tool-tracking app would be the fifth place the firm keeps its jobs, not the first.

The best test of whether you need it: think of the last thing somebody in the firm had to find out by ringing somebody else. If it could have been written beside the location or the item in question, this is the module — and the locations a note attaches to are the ones in the locations and fleet guide.
