Someone leaves the company. They say their goodbyes on Friday, and on Monday it dawns on somebody that he had a drill. Or two. Or a full set with batteries that nobody knows anything about, because the man who issued it left as well, a year ago.
The bad part is not that a tool was lost. It is that nothing can be shown: there is no list of what he held, no signature, and it is too late for the conversation to be worth having anyway.
Overdue items do not announce themselves, they accumulate
An unreturned tool produces no signal at all. Nobody feels its absence until the day they need it — and then it is an emergency, not an overdue item. Meanwhile things settle quietly:
- The tool borrowed „for two days", four months ago.
- The man holding seven tools, without anybody noticing it was seven.
- The kit left on a closed site, in somebody's vehicle.
- The employee who left, with whom no handover was ever done.
Each one is small. Added up over a year, they are a quarter's tool budget.
Every person gets a list, not a reputation
In ToolFlux each employee has a profile showing what they are holding right now. Not „he is sound, he brings things back" or „that one loses everything" — a list, with items and dates.
Two things come out of that list which you did not have before:
- A proper exit. When somebody leaves, you open the profile and know exactly what has to come back. Before the last day, not after.
- A conversation without accusation. „You have had the grinder since 12 March" is a different sentence from „where is the grinder?". The first has a date and a signature; the second has a tone.
A return date is what makes an overdue item visible
You can set a return date on any assignment. It is not compulsory — a tool issued permanently to a crew has no return date — but where you set one, something useful happens:
The server checks every morning at nine
Daily, Romanian time. It does not depend on who opens the app. An alert that only fires when you enter a particular screen is one you see after you already had the problem.
Overdue means assigned, present, and past its date
An item flagged as missing no longer counts among overdue items — that is a different category of problem, with a different remedy.
After two weeks, a separate alert
Items more than 14 days overdue raise a distinct, more serious notification. The reason is simple: two days late is site life, two months late is something else, and they must not look the same in a list.
The escalation in step 3 is what keeps the system alive. If every overdue item looks identical, the list gets long, then familiar, then ignored. Separating the serious ones is what makes it worth opening.
What changes when somebody leaves
Losses do not disappear. The „too late" moment does: the problem shows up on the day it arises, not on the day you need the tool. And at the exit there is a document rather than a conversation from memory.
