Consumables and materials

Issue goods by quantity and know exactly what was used, returned and lost.

Reviewed 2026-09-05

In short

  • Issued by quantity, not by piece. One item can be with several people at once.
  • On return, a consumable splits into good and scrapped; a material also has placed in work.
  • Declare the packaging once and the app does the boxes ↔ pieces arithmetic for you.

How they are counted

A consumable or material has no individual identity: you have 200 discs, not disc number 43. Every operation works on quantities, and the most useful consequence is that the same item can be allocated to several people at once, each with their share.

Each item has a unit of measure, a category, optionally the manufacturer's barcode, and a reorder threshold.

Packaging

Goods are bought by the box and consumed by the piece. If you declare the packaging type and how many pieces go in one, the app keeps both sums: you receive 5 boxes, issue 12 pieces, and the stock stays correct without you doing the arithmetic.

Allocation

On the phone

1

Open the item

From the inventory, the consumables or materials tab. Or scan its code.

2

Allocate the quantity

Choose the person and the amount. You cannot give more than the location holds.

3

It sits in their name

The allocation appears on the employee's record, alongside the tools they hold.

In the console

The Consumabile and Materiale tabs under Inventar. An item's panel has the three actions: Alocă (allocate), Reaprovizionare (restock) and Retur (return).

The Stoc redus toggle filters straight to what is below threshold — the quick view before placing an order.

The return: this is where they differ

When goods come back from a person, you have to say what happened to them. The allocated quantity is split across destinations, and the destinations differ between the two types.

1

Consumable — two buckets

GOOD QTY, which goes back into stock, and SCRAPPED / LOST, which leaves the records for good. The two must add up to the allocated amount.

2

Material — three buckets

The same two, plus PLACED IN WORK: the goods went into the build, will never come back, but are not a loss either — their value is charged to the site.

Restocking

New goods are entered from the same panel. For materials you can also record the invoice or batch, which ties the stock to the document it arrived on.

When stock rises above the reorder threshold, the item drops out of the critical stock list by itself. The threshold is set per item, when adding or at any time after.

What differs

Materials need a higher plan Plus; consumables are on every plan, with a cap on the number of records. The rest of the mechanics is identical on both surfaces — allocation works as well from the phone as from the console, because it needs no signature.

Next

Chapter 11 takes what follows naturally: what happens when stock runs low — thresholds, supply requests and order lists. The background is in the guide on never running out of consumables.
