Employees and custody

See who holds what and recover what did not come back on time.

In short

  • An employee is a record, not an account. They never sign in; they only receive tools.
  • Their record shows everything they hold now and everything they ever held, with the signed paperwork.
  • Overdue items are checked every morning at 09:00; past 14 days the alert becomes more severe.

The employee record

An employee has a name, phone, job title, department, photo and an active / inactive switch. No password and no role — the distinction from chapter 02.

Job titles and departments come from a predefined list, the same in the app and the console. This is not bureaucracy: reports group by them, and „fitter" and „Fitter" typed by hand would be two different people to any statistic.

Who holds what

The record shows two lists: what they hold now — individual tools plus allocated quantities of consumables and materials — and the history, meaning every handover and every return, with the signed record attached.

The record also produces a holdings sheet, a PDF of everything in that person's name on that date. It is the document usually asked for when somebody leaves or moves to another site.

Open employees

From the company management area on the home screen. Visible to everyone, not just the administrator.

Pick the person

The list shows how many items each one holds, so you can see at a glance who is loaded up.

Their personal inventory, the full history, or the holdings sheet as a PDF.

In the console

What happens on deletion

For somebody who leaves but whose paperwork has to be kept, the inactive switch is the answer: they drop out of the handover lists, but the history and the signed records stay.

Return dates and overdue items

A return date can be set at handover. It is not mandatory, but without it nothing can become „overdue", and everything below stays silent.

Every morning at 09:00

A process on the server goes through each company's items and counts what has passed its date. The time is fixed, on Romanian time.

Escalation at 14 days

Anything more than two weeks past its date gets a separate, more severe alert. The two are distinct categories, so one does not replace the other.

Recovery, in the console

The Articole întârziate screen groups overdue items by person, not by tool, most overdue first. That is the practical difference from a plain list: you make one phone call, not seven.

Each row has contact buttons — phone, SMS or WhatsApp — which open the right app with the message ready. Pressing them is recorded, so next time you can see that the person has already been chased, and when.

What differs

The phone has the overdue screen and the handovers; the console has recovery organised — grouping by person, visible escalation, one-click contact and the note that a reminder was sent. A natural division: handovers happen in the warehouse, chasing happens at a desk.
