Inventory: the six kinds of item
Pick the right type for everything you enter.
Reviewed 2026-09-05
In short
- Six kinds of item. The distinction that matters: pieces are tracked individually, quantities are counted down.
- A container is a real box; a set is a grouping on paper. Both take their contents with them.
- A consumable runs out. A material is placed into the work and charged to the site.
The six kinds of item
The inventory has six types, plus an All tab that shows them together. Choosing the type when you add something is the one decision that is hard to change later, so it is worth understanding once.
The basic split is not between the six, but between two groups:
- Counted as pieces — equipment, containers, sets, accessories. Each unit has its own identity, its own code and one holder at a time. You can say of a floor saw: „Ion has had it since Tuesday."
- Counted as quantities — consumables and materials. No individual identity: you have 40 discs, not disc number 17. They are issued in amounts and counted down.
Items counted as pieces
Equipment
The individual tool: the rotary hammer, the level, the generator. It has brand, model, serial, price, status and visual condition. This is the default and the most used type.
Physical container
A real box holding other items — a case, a chest, a tool roll. It exists physically and can be handed over as one thing.Plus
Logical set
A grouping that is not a box: „the finishing kit", „the joinery fitting kit". The same tools, kept together on paper so they are handed over together.Plus
Accessory
What belongs to a tool without being a tool in its own right: batteries, chargers, bits, adapters.
Containers and sets solve the same problem from different directions: you do not want to scan twenty items to hand over one kit. Choose container when there is a physical box somebody carries, and set when things travel together but do not live together.

Items counted as quantities
Consumable
Goods that run out: discs, drill bits, gloves, silicone. Each has a unit of measure, packaging, and a reorder threshold — below it, the item appears under Critical Stock.
Material
Construction materials: cement, timber, cable, adhesives. The same quantity mechanics as consumables, plus site cost allocation.Plus
What separates them is not size but what happens on return. A consumable either comes back or it does not. A material can come back good, can be scrapped, or can be PLACED IN WORK — meaning it went into the build and will never come back, but its value is charged to the site.
Where you work
On the phone
The Inventory tab in the bottom bar. The add button opens the list of types; the ones your plan does not include are shown with the plan that covers them.
From the tab's top menu: dense-list toggle, history, and the whole-inventory actions — quick stocktake, PDF export, label sheet.

In the console
The Inventar page. Same tabs, but a table instead of a list: sortable columns, search, and rendering in batches of 100 rows for large inventories.
Clicking a row opens the item's side panel with its details and actions. The + Adaugă button holds the same six types.

What differs
The console has two things the phone does not, both desk work: generating an A4 sheet of labels for several items at once Pro, and removing items from a location in bulk. The phone has the one thing that matters in a warehouse: the camera.
Plan limits
How many items and consumables you can hold depends on the company's plan. When you reach the limit the add screen says so and offers an upgrade — you never lose what you already have. The exact figures are on the pricing page; we do not repeat them here, so they cannot end up disagreeing.
Next
Now you have something to hand over. The next chapter covers handovers: scanning, two signatures and the record left behind. If you want the background to the problem first, there is a guide on the digital tool inventory.
