Handovers: two signatures and a record
Hand tools out and take them back with a record signed by both parties.
Reviewed 2026-09-05
In short
- Scan the tool, pick the person, both sign on the same phone. The record is generated for you.
- Whoever gives, signs first — the supervisor on a handover, the employee on a return.
- Handovers work without signal. The PDF uploads itself when the network comes back.
What a handover is
A handover moves custody: the tool passes from a location to a person, or back. It is not a note in a book — it is a change of responsibility, and the app treats it as one, with two signatures and a record.
Two directions, same mechanics:
- Handover — from a warehouse or van, to an employee.
- Return — from an employee, back into a location.
The two-pen protocol
Both parties sign on the same phone, one after the other, before the operation is recorded. If either backs out, nothing changes — there is no half-finished handover.

A handover, step by step
On the phone
Start the action
From the home screen, the ASSIGN card. Choose one tool or several in a row.
Scan
The camera reads the code. If the tool is already with somebody, the app refuses and tells you who has it — it is never handed over twice.
Pick the employee
From the company's employee list. You can set a return date here too; chapter 06 covers what happens when it passes.
Both sign
The location supervisor, then the employee. If you are handing over a container or a set, the record lists every component — the person signs knowing exactly what they are taking.
You get the record
The handover record is generated on the spot and can be opened or printed immediately.

- 1The scanned item — check the name and serial before continuing.
- 2The employee receiving it. Their photo appears here.
- 3The return date. Without it, the item can never become overdue.
In the console
From Inventar, click the item, then Alocă (assign) in the side panel. Pick the employee and, optionally, the due date. The signature is drawn with the mouse and is optional here.
The return is the Restituie button, with a choice of which location the goods go back to.

What differs between phone and console
A real difference, not a matter of convenience: on the phone the two-signature protocol is mandatory, in the console the signature is optional. That makes sense — the physical handover happens at the warehouse with both people present; in the console you are recording, from a desk, a move that was agreed some other way.
The practical consequence: if you want every handover to carry a signed record, do handovers from the phone. The console is for corrections and for cases where the person is not in front of you.
The handover record
The generated document contains:
- your company's name in the header — it is your document, not ours;
- the item, with brand, model and serial, plus components if it is a set or a container;
- who hands over, who receives, the location and the date;
- both signatures, as images.
It stays in the tool's history and in the employee's, and can be downloaded at any time. A blank template to print, plus what such a document has to contain to protect anyone, are in the guide on the tool handover form.
Without signal
A handover in a warehouse or on a site with no coverage works: the change of custody is queued and reaches the server when the network returns. The PDF is generated locally, so you can open and show it straight away.
Plan
The signed PDF protocol and signed transfers need a plan above the basic one.Plus So does unlimited scanning Plus — the basic plan has a daily scan allowance.

Chapter 05 covers scanning itself: what can be scanned, what happens to an unknown code, and how to find a tool with the camera. The background to the problem is in the guide on QR tool checkout.
